We researched Dubsado's official pricing and terms, plus independent reviews and customer feedback. We haven't used Dubsado ourselves, so this is a research-based review, not a hands-on test.

Who it’s best for

  • Service businesses that want detailed custom forms and automated workflows.
  • People who like to set up a system once and let it run.

Who should skip it

  • Probably not the best fit if you want something that works well with no setup.

How it works day to day

This part draws on Dubsado’s own product pages, help center and documentation, read October 26, 2026 (listed under Sources). We haven’t used Dubsado ourselves.

Dubsado is a system you design once and then let run. A lead fills in your lead-capture form, which creates a project. From there, a workflow can send a proposal, then a contract, then an invoice, then an intake questionnaire, each one triggered by the previous step being finished. Clients see everything in a branded client portal.

Key features in use

  • Custom forms: lead capture, questionnaires, proposals and contracts, with lots of layout control.
  • Automated workflows that move a client from inquiry to kickoff (Premier).
  • A scheduler that syncs with Google and Outlook calendars, with confirmations and reminders (Premier).
  • Branded client portals for documents, invoices and messages.
  • Multiple brands under one account (extra brands cost more, as noted above).

Setup and learning curve

Dubsado's help center has a "what to set up first" guide: connect payments, email and your calendar, then build reusable templates and workflows from inquiry through contract, payment, intake and kickoff. This is the setup time mentioned under What to watch for; the 21-day trial with Premier features gives you room to build it before paying.

Integrations

Dubsado connects to Google and Outlook calendars, QuickBooks Online and Zapier (QuickBooks and Zapier need Premier). Zapier can react to new leads, signed contracts, status changes and payments, or create projects.

Support

Dubsado runs a help center with step-by-step guides on forms, portals, scheduling and setup order.

Real-world use cases

  • A brand designer automates the whole run from inquiry to kickoff call.
  • A coach uses detailed intake questionnaires before the first session.
  • Someone running two businesses keeps both brands in one account.

What it costs

Prices checked October 25, 2026, from Dubsado’s own pricing page unless noted. Prices change often, so check the official page before you buy.

  • Starter: $35 a month or $335 a year. Unlimited clients, invoices, contracts, client portals, 1 lead form.
  • Premier: $55 a month or $525 a year. Adds automated workflows, scheduling, public proposals, Zapier and QuickBooks Online.
  • Up to 3 extra users included. Extra brands are $10 a month.
  • These prices took effect December 1, 2025 for new subscribers.

What we like

  • A 21-day free trial with Premier features, and no automatic charge when it ends.
  • Dubsado doesn't add its own fee on payments; standard processor fees still apply.
  • Very customizable forms and workflows.

What to watch for

  • Automations and scheduling are only on Premier.
  • Setup takes time, and reviewers call scheduling and form design clunky.
  • Capterra showed 4.2 out of 5 from 61 reviews as of October 25, 2026, lower than HoneyBook's ratings.

The fine print

  • If the trial ends without a plan, clients can't pay invoices, sign contracts or book until you subscribe.
  • Yearly billing saves about two months.

The main alternative: HoneyBook

HoneyBook is a client-management app for creative service businesses: proposals, contracts, invoices and payments in one place. It offers a free trial and a 60-day money-back guarantee. It's for US and Canadian businesses.

What it costs: $29/mo billed yearly ($36 monthly), checked October 26, 2026
